How to Convert PowerPoint to PDF

If you need to email a large presentation as an attachment for review, feedback, or if the reciepient doesn’t have PowerPoint installed then converting the PowerPoint into PDF format is often the best approach. In our latest ‘How to’ guide series we provide a step-by-step approach to converting PowerPoint slides into .PDF format.

Step 1: Click file then export

The first (and easiest) step is to click on “File” in the top left corner of PowerPoint. Then, go to the “Export” panel.

Step 2: Create PDF

Find the “Create PDF/XPS Document” panel and click on “Create PDF/XPS”.

Step 3: Save

Once you’ve hit the button in step two, a “Publish as PDF or XPS” dialogue box will pop up. Here, you need to decide where you want to save the file.

You can also change the name of your document here as well, just type it into the ‘File Name’ box.

Step 4: Change the settings

Step four is entirely optional so, you can stop reading now if you’re not worried about altering the final PDF output. For those that are, let’s get into it.

Optimise For

If you are going to be printing your final PDF, you will need to take a look at the “Optimise For” section. Here, you should select “Standard” to ensure the PDF’s quality will be high.

However, if you’re going to be sending it as an email attachment, you’ll want to hit “Minimum Size” to make sure it will send quickly.

Options

Under the “Options” menu, you can choose the appearance of your presentation in PDF. As you might imagine, there are numerous settings you can fiddle with to get different results, but we’ll show you the few most important ones here.

  • If you need only one slide saved as a PDF, find “Range” and click on “Current Slide”
  • If you need to convert specific slides find “Slide(s)” and enter values in “From” and “To”.
  • If you just want to concert the comments, find “Publish What” and hit the option that works for you.

Step 5: Publish

The only thing that’s left to do now is to click on “Publish” and you’re good to go!
